Facilities Manager

SUMMARY
The Facilities Manager is responsible for the daily operation, maintenance, safety, readiness, and long-term upkeep of all Square One owned and leased facilities and general maintenance support for all staff. This management role combines direct maintenance work, vendor management, inspection/licensing readiness, safety oversight, documentation, budget awareness, and coordination with program and administrative leadership. The position requires a highly reliable, practical, and self-directed facilities professional who can prioritize work across multiple sites, respond quickly to urgent needs, maintain accurate records, and ensure that buildings remain safe, clean, functional, and aligned with applicable local, state, licensing, fire, health, and safety requirements. The Facilities Manager will monitor and respond to issues and emergencies with some evenings or weekend hours as needed. Excellent organization, communication, planning and budget skills will be required.

REQUIRED QUALIFICATIONS

  • High school diploma or equivalent required; trade school, technical training, or facilities-related coursework preferred.
  • Minimum of 5 years of progressively responsible facilities, maintenance, building operations, property management, or related experience.
  • Demonstrated hands-on knowledge of general maintenance, basic plumbing, basic electrical troubleshooting, carpentry, painting, hardware, grounds, and building systems coordination.
  • Experience prioritizing and completing work across multiple buildings or service locations.
  • Ability to work independently, make practical decisions, communicate clearly, and follow through without constant supervision.
  • Valid driver’s license, reliable transportation, and ability to travel among Springfield locations throughout the workday.
  • Ability to use basic technology for email, work orders, documentation, spreadsheets, vendor records, and inspection tracking, ticketing systems and vendor tools.
  • Ability to pass required background checks and comply with organizational policies for working in environments serving children and families.

PREFERRED QUALIFICATIONS

  • Experience in a nonprofit, school, early education, human services, healthcare, municipal, or multi-site service environment.
  • Supervisory or lead-worker experience with custodial, maintenance, vendors, contractors, or facilities support staff.
  • OSHA, CPR/First Aid, facilities safety, custodial, fire/life-safety, environmental safety, or other relevant training.
  • Familiarity with Massachusetts building operations, local permitting, inspection processes, licensing expectations, and nonprofit resource constraints.
  • Experience using a ticketing/work order system, facilities checklist, shared drive, or simple database/spreadsheet tracking system.

MAJOR RESPONSIBILITIES AND KEY TASKS
Facilities Operations & Maintenance

  • Manage day-to-day facilities operations across four locations, ensuring that buildings and outdoor properties are safe, accessible, clean, secure, and ready for daily program use.
  • Conduct regular building and property walkthroughs documenting maintenance, safety, housekeeping, and repair needs.
  • Perform and/or coordinate minor repairs involving basic plumbing, carpentry, painting, hardware, lighting, furniture, fixtures, doors, locks, equipment, and general building systems.
  • Maintain a preventative maintenance schedule for building systems, grounds, vehicles or equipment assigned to facilities, HVAC coordination, seasonal work, and recurring inspections.
  • Respond promptly to facilities service requests and prioritize work based on safety, program impact, compliance risk, cost, and urgency.
  • Support snow removal coordination, weather-related preparation, grounds upkeep, trash/recycling coordination, and seasonal building readiness.

Vendor, Contractor & Project Coordination

  • Identify, schedule, coordinate, and oversee outside vendors, contractors, inspectors, and service providers.
  • Obtain quotes, compare pricing, confirm scope of work, monitor work quality, and verify completion before recommending payment.
  • Serve as the primary point of contact for routine facilities vendors, including maintenance, cleaning, pest control, fire/life-safety systems, HVAC, plumbing, electrical, security, and related services.
  • Coordinate small facilities projects, moves, room setups, furniture/equipment installation, repairs, and minor renovations while minimizing disruption to programs.
  • Escalate larger capital needs, recurring system issues, or high-risk deficiencies to senior leadership with clear recommendations and cost estimates.

Safety, Compliance & Inspection Readiness

  • Maintain facilities in a condition that supports applicable Massachusetts, municipal, licensing, fire, health, safety, accessibility, and insurance requirements.
  • Track and support required inspections, permits, certificates, licenses, fire drills, life-safety checks, elevator or equipment certifications, and corrective action items.
  • Document safety concerns, maintenance activity, vendor work, inspection results, and follow-up actions in a timely and organized manner.
  • Support emergency preparedness, evacuation planning, weather response, incident follow-up, and business continuity needs related to facilities.
  • Proactively identify hazards such as leaks, trip risks, damaged equipment, blocked exits, poor lighting, environmental concerns, or unsafe work conditions and ensure timely correction.

Administrative, Budget & Inventory Responsibilities

  • Maintain organized records for work orders, preventative maintenance, vendor contacts, warranties, inspections, permits, equipment, keys, supplies, and facilities-related documentation.
  • Monitor facilities supplies, maintenance materials, tools, equipment, and inventory; reorder or recommend purchases as needed.
  • Support annual facilities budgeting by identifying recurring costs, deferred maintenance, vendor costs, equipment replacement needs, and capital improvement priorities.
  • Review facilities-related invoices for accuracy and confirm that services were completed as expected.
  • Prepare practical status updates on a regular basis for leadership on open work orders, safety issues, vendor activity, project progress, and priority facility and property needs.

Program & Staff Support

  • Coordinate closely with program, operations, administrative, and leadership staff to ensure facilities support daily service delivery.
  • Provide event setup, room configuration, furniture moves, equipment setup, and special project support as needed.
  • Communicate clearly with staff regarding building issues, repair timelines, temporary disruptions, safety concerns, and access limitations.
  • Promote a service-oriented facilities culture while maintaining appropriate boundaries, priorities, and accountability.

  • Perform other duties as assigned within the scope of the job description.
  • Occasional early morning, evening, weekend, or emergency availability may be required based on building needs, inspections, weather events, or urgent repairs.

  • Compliance with all confidentiality regulations as required.
  • Ability to obtain First Aid and CPR certification.
  • Ability to operate a computer and office equipment, including, but not limited to, a telephone, fax machine, and copier.
  • Ability to lift, carry and move center/classroom equipment and supplies and/or bulky objects or children weighing up to 50 lbs.

PHYSICAL REQUIREMENTS

  • Ability to lift, carry, push, or pull up to 50 pounds on a regular basis and heavier items with assistance or equipment.
  • Ability to stand, walk, bend, kneel, climb stairs, use ladders, reach overhead, and work in mechanical, storage, indoor, outdoor, and seasonal weather conditions.
  • Ability to safely use basic hand tools, power tools, maintenance equipment, and personal protective equipment as required.

Job Type: Full-Time (40 Hours a Week)

Pay: $25-$30/Hour
